Administrative Assistant IV

Location: Houston, TX

Pay Rate: $28

Job Type: Contract, 4/18/22 - 12/31/22

Job Summary

  • This work involves oversight of calendars, meetings, international travel, supporting conferences, meetings, visits, events, and other activities.
  • This role requires organizational skills and attention to details are crucial, strong customer service focus, strong verbal and written communication skills, a high knowledge level of various MS office applications in addition to MS Teams, SharePoint and must be flexible with work schedule due to business demands.
  • Affairs team members as well as administrative staff to accomplish department goals.


Job Description (including but not limited to):

  • Manage and organize calendar for Corporate Affairs General Manager.
  • Travel accommodations and registration for special events including.
  • Initiating country Visas process from beginning to end.
  • Partnering with in-country support, as needed.
  • Submit expense reports with appropriate compliance documentation, as needed.
  • Manage Sports and Event tickets through Ticket Manager for the organization (this includes distribution and attendance records).
  • Manage weekly team meeting invites, document meeting minutes and SharePoint calendar.
  • Create agendas and execution for Corporate Affairs events and meetings.
  • Manage department anniversaries and celebrations.
  • Help coordinate and assist with corporate letters.
  • Order office supplies for Corporate Affairs General Manager and team, follow Purchase-Card guidelines for office purchases.
  • Support meeting delegation visits (includes room booking, catering, meeting invites, etc.).
  • Provides support for conferences, meetings, visits, events, and other activities.
  • Supports department compliance requirements, inclusive but not limited to data privacy support and other compliance issues as needed.
Required Qualifications

• At least 4 years of administrative experience in a Corporate setting and/or experience working with Executives.

• Bachelor's degree preferred.

• Must be able to handle all activities with confidentiality, initiative, and independence.

• Must be punctual, dependable, and hold strong interpersonal skills.

• Requires completion of work assignments where directions are given from a brief outline or general oral instructions

• Demonstrated ability to take initiative, prioritize and meet deadlines.

• Ability to multi-task, anticipate needs and requirements, and follow through.

• Ability to work cooperatively with all levels of management and peers and can readily adapt to the needs of diverse work groups while remaining calm under pressure.

• Ability to effectively communicate (written and verbal) at all levels of the organization.

• Strong organizational skills and attention to details are crucial.

• Advanced knowledge in use of Microsoft Office applications in addition to MS Teams, SharePoint to develop spreadsheets, presentations, mail merges and other correspondence.

• Spanish, French, Arabic or Portuguese fluency preferred not required (read/write/speak).

Additional Job Description

• Ability to plan and balance multiple tasks simultaneously; able to adapt to last-minute changes quickly; set priorities and meet deadlines while producing high-quality work.

• General office management (ordering supplies, managing Procard and invoice processing, managing visitors, and light IT support, information management/SharePoint/database work).

• Prepares documents in PowerPoint, Word, & Excel using MS Office applications.

• Interacts professionally and effectively with senior leaders and customers.

• Strong communication skills, verbal and written.

• Independently completes special projects as requested by gathering, organizing, and summarizing information, and preparing documents from general instructions.

• Works collaboratively with other administrative resources

• Hybrid work schedule of remote and in office as needed.
